Please fill in the appropriate section of the booking system in block capitals, ticking the appropriate boxes. Full payment by credit card is required, in order to finalise your reservation. Participants are requested to indicate their preference of hotel category, room type and arrival and departure dates. At the time of ticking your preferred hotel, availability will appear and your reservation can be confirmed without any delay. Name allocation for each room booked is required. Special requests regarding room reservations can be noted in the “remarks” field. As soon as your credit card is charged, the system will provide you with a confirmation, including your reservation details, which can be easily printed. Respective voucher(s) will be sent via e-mail a few days prior to the Meeting.
FOR BANK TRANSFER AND/OR CREDIT CARD PAYMENT
In case you do not wish to book your accommodation on-line, please for the Registration and Accommodation Bookings Form, fill it in and send it by fax (+30 210 7257532) or e-mail (firstname.lastname@example.org), along with a copy of the bank transfer receipt.
Please fill in the appropriate section of the Bookings Form in block capitals, ticking the appropriate boxes. Hotel reservations cannot be confirmed until the Booking Form has been duly received, along with a 50% advance deposit, specification of hotel category, type of room preferred, and the dates of your stay. Delegates are requested to indicate their preference of hotel category in numerical order. If the preferred hotel category is not available, delegates will be given the next available choice. The deposit should correspond to the price of the hotel category of the delegate’s first choice. The Booking Form should be sent along with the deposit to ERASMUS CONFERENCES TOURS & TRAVEL S.A. as soon as possible. A note of confirmation will be sent to the delegate, stating the amount left to be paid (balance), as well as the name and address of the hotel of their stay. Full payment should be made before September 1, 2014, after which the delegate will receive the respective voucher(s).
They are quoted in Euros (€) per night and per room including breakfast and taxes.

. All guests will be responsible for their own accommodation and incidental charges which are to be settled upon departure from the hotel.
. “No Shows” on the first night will lead to the automatic cancellation of the entire reservation and involve the loss of the entire prepayment.
. If you shorten your stay, no refund will be made on the cancelled pre paid room nights.

In order to benefit from the above mentioned rates, reservation requests have to be submitted and handled exclusively by the Organising Secretariat (MCI) by Monday 10 December 2012 AT THE LATEST.

Cancellation Policy for Accommodation:
-Cancellations must be notified in writing (by mail or fax but NOT by E-MAIL) to the Organising Secretariat and are subject to the following conditions:
For cancellations received up to 10 December 2012: 50% will be withheld for administrative fee
From 11 December 2012: no refunds will be issued
